Job Summary:
As a Personal Assistant, you will provide high-level administrative support to executives or individuals, assisting them in managing their day-to-day tasks and responsibilities. You will act as a gatekeeper, managing communications, scheduling appointments, organizing meetings, coordinating travel arrangements, and handling other administrative duties. You will also maintain confidentiality and exercise sound judgment in handling sensitive information. The ideal candidate should be highly organized, detail-oriented, and possess excellent communication and interpersonal skills.
Key Responsibilities:
- Provide administrative support to executives or individuals, including managing calendars, scheduling appointments, organizing meetings, and coordinating travel arrangements.
- Manage and prioritize incoming communications, including phone calls, emails, and other correspondence, and respond on behalf of the executive or individual, as appropriate.
- Prepare and edit documents, presentations, reports, and other materials as needed, ensuring accuracy and attention to detail.
- Maintain confidential information and handle sensitive matters with professionalism and discretion.
- Coordinate and facilitate internal and external meetings, including preparing agendas, taking meeting minutes, and following up on action items.
- Perform general administrative tasks, such as filing, data entry, and record-keeping, to ensure efficient and organized operations.
- Screen and manage incoming and outgoing communications, including emails, phone calls, and messages, and prioritize and respond to them in a timely and professional manner.
- Make travel arrangements, including booking flights, accommodations, and transportation, and manage travel itineraries for executives or individuals.
- Act as a liaison between the executive or individual and internal and external stakeholders, including clients, partners, and team members, to ensure effective communication and coordination.
- Anticipate and proactively address the needs of the executive or individual, including managing their calendar, reminding them of upcoming deadlines, and providing support as needed.
